Good preparation protects the schedule, reduces change orders, and helps the finished floor look better on day one and years later. How to prepare for hardwood floor installation before the crew arrives
The first step is confirming the scope, schedule, and site conditions before material shows up. Hardwood is not a plug-and-play product. It reacts to jobsite temperature, humidity, and substrate conditions, so timing matters.
If the building is still under construction, hardwood should go in late in the schedule. Wet trades such as painting, plaster, concrete patching, and tile grout need to be complete and dry first. If ceilings are still open, mechanical work is unfinished, or windows and exterior doors are not secure, the environment is not ready. Installing too early can lead to swelling, shrinking, cupping, or finish issues that could have been avoided.
It is also worth confirming who is responsible for moving furniture, removing existing flooring, disconnecting appliances, and clearing closets or built-ins. Assumptions create delays. On commercial projects, access windows, elevator reservations, loading dock use, and security procedures should be settled ahead of time. Control the jobsite environment
Hardwood needs stable interior conditions. Before installation, the HVAC system should be operational and running at normal occupied settings. Temperature and relative humidity should be held within the flooring manufacturer's recommended range for several days before installation, during installation, and after completion. That is especially important in New England, where seasonal swings can be significant. Wood subfloors need to be within acceptable moisture ranges and within an acceptable differential compared to the flooring being installed. Concrete slabs need proper testing as well, because a slab can look dry on the surface and still release enough moisture to damage an adhesive bond or distort the wood.
This is not an area for guesswork. Moisture meters and documented testing matter because they guide the installation method and help prevent future movement. If moisture readings are high, the right move may be to delay the project, address the source, or use an approved mitigation approach. That can feel like a setback in the moment, but it is far less costly than replacing a failed floor.
Make sure the subfloor is ready
A hardwood floor is only as good as the surface underneath it. Even premium material will show problems if the subfloor is uneven, soft, dirty, or structurally unsound.
The subfloor should be clean, dry, and flat within the tolerances required for the product being installed. Flat does not always mean level, but it does mean low spots, ridges, deflection, and damaged areas need to be corrected before installation starts. Old adhesive residue, fastener issues, squeaks, loose panels, or concrete surface defects can all interfere with results.

For commercial clients, room clearance should account for business continuity. If a phased installation is planned, each phase needs a fully available work area and a realistic turnover schedule. Trying to install around desks, medical equipment, or active service counters usually slows the job and raises risk. Precision work requires access.
Plan for door clearance, trim, and transitions
Hardwood changes finished floor height, and that affects more than appearance. Doors may need to be undercut or rehung. Existing baseboards, shoe molding, thresholds, and transitions may need removal and replacement. Adjacent floor finishes need to be evaluated so the final transition is safe, clean, and code-appropriate where applicable.

In commercial buildings, it may include temporary barriers, after-hours scheduling, designated haul routes, and coordination with building management. Sensitive environments such as healthcare or public facilities may require a more controlled setup, including stricter infection control or public safety measures.
